Essential Duties:
Prepare, record, and submit warranty claims to the factory and/or distributor in a timely manner and reconcile them accordingly.
Pay close attention to details, accuracy, and timeliness of claims to ensure the Service Department receives payment
Enter and collect payments
Process customer refunds withing the set rules and timeline
Reviews all warranty paperwork and other service repair orders to ensure proper documentation (revision of labor operations, technician notes, time punches, rental collection, etc.
).
Reconciles all warranty receivables with payments through the appropriate accounting schedule on monthly basis.
Reviews and appeals all rejected claims promptly.
Assists in obtaining prior approval for claims as needed.
Books technician time to service repair orders and reports on time as needed.
Receives authorization for any internal charges and codes repair orders properly.
Follows up on payment of outstanding warranty claims.
Keeps informed of all factory recalls and bulletins.
Assists with body shop warranty claims as needed including submission.
Creates service repair orders for new vehicle preps and preowned vehicle safety inspections.
Communicates required repairs for preowned vehicles to preowned department manager.
Creates appointments and repair orders for dealer installation accessories as directed by parts department.
Assists with any clerical needs as directed by the fixed operations manager or the controller.
Maintains a professional appearance and a neat work area.
Performs other duties as assigned.
Qualifications - Automotive Warranty Administrator:
Automotive Warranty Administrator experience is preferred
Ford Warranty Admin experience preferred
Knowledge of Service Department methods, policies, and procedures
Good computer and math skills, pays attention to details
Excellent communication and listening skills
Able to solve problems in a professional and tactful manner
A positive attitude, good work ethic, and professional appearance
High school diploma or equivalent
