Responsibilities
Responsible for managing all aspects of the South Haven facility including, but not limited to, engaging and managing third party contractors, establishing office operating protocols/procedures, liaise with vendors and suppliers.
Responsible for establishing and managing annual operating budget for the facility.
Organize, arrange, direct and plan office functions/events (i.
e.
, global, corporate, board, executive meetings, training, etc.
).
Managing levels of all supplies necessary for a functioning business.
Other administrative tasks.
Administrative support to a small team of senior executives such as scheduling appointments, answering phones, composing correspondence, maintaining schedules, meeting room preparations, catering needs, travel arrangements, prepare monthly expense reports and work on ad hoc projects as requested.
Researching data to prepare documents for review and presentation by board of directors, committees, and executives.
Reading and analyzing incoming memos, submissions, and distributing them as needed.
Payroll backup.
HR Social committee representative.
Annual HR Purchase Requisition administration.
Provides HR filing support.
This position is located at front desk and responsible for guest administration.
Qualifications
Bachelor’s Degree or equivalent experience .
5-7 years of related experience managing a professional office.
1-3 years working with executive leaders.
1–3 years working in a multinational organization preferred.
Proficiency in Microsoft Office (i.
e.
, Excel, WORD, PowerPoint) and competency in proper use of basic office equipment.
Considerable interpersonal skills, including the ability to establish and maintain effective working relationship with others.
Must be proactive and able to demonstrate composure and professionalism under pressure.
A proactive approach to problem-solving with strong decision-making skills.
Ability to maintain a high level of confidentiality
